What Vikentis Radio collects, why we need it, how long we keep it, and how to get it back or deleted. Written to match what the site actually does — credits, Pro, contests, tips and the studio tools included.
Vikentis Radio is an independent online station for independent artists. It is owned and operated as a subdepartment of Vikentis Design, company registration 422961575.
For the purposes of the Law of Georgia on Personal Data Protection (საქართველოს კანონი „პერსონალურ მონაცემთა დაცვის შესახებ“), Vikentis Design is the controller of the personal data described here: it decides what is collected and why.
This policy covers the website at vikentisradio.com, the player and studio tools, artist accounts and submissions, Pro memberships, contest entries and the DJ volunteer programme. It does not cover Discord (a separate platform, with its own policy) or any other site we link to.
We do not ask for special-category data (health, religion, political opinions, biometric identifiers) and we do not want it sent to us. Do not put it in a submission note or a prompt.
We do not use your data to train publicly available AI models, and we do not sell it or build advertising profiles from it.
Cookies are small files your browser stores for a site. We use very few, and none of them are advertising cookies.
You can delete or block cookies in your browser at any time. Blocking the essential ones will sign you out and may stop a form from submitting, but the stream and the public pages keep working.
Every payment on Vikentis Radio is processed by PayPal. We never see or store your card number, your CVV or your PayPal password. What we receive back is a confirmation: the amount, the currency, the date, a transaction reference and the email address on the PayPal account.
We keep that confirmation because accounting requires it, and because a payment question months later can only be answered with it. We do not keep anything else from the transaction.
PayPal is a separate controller of the data it collects during checkout. Its own privacy policy applies to that part of the journey.
A DJ may give us a PayPal.me link, and we display it with their show. When a listener tips, the money goes from the listener to the DJ through PayPal — it never passes through us, and we are not the payment processor for it.
What we hold is the link itself, which normally contains the DJ's name or handle. What we do not hold is the listener's payment details, the tip amount, or the DJ's PayPal balance. If a tip is disputed, that is between the DJ and PayPal.
If you are a DJ and you want your link removed, ask us and it comes off the schedule the same day.
While you volunteer, we may show your name, stage name, photographs and likeness on the schedule, the site and our social channels to promote your show. That permission is given in your Volunteer DJ Agreement and ends when the agreement ends — after which we stop using new material and remove your photo from the schedule on request.
When you submit a track we store the file, its metadata, your artist and contact details, and the submission record. The track may be played on air, listed on the site, and kept in an archived show.
The licence you grant us to broadcast and archive your music is described in the Terms & Conditions. It is a licence to play and promote, not a transfer of ownership.
To have a track removed, write to [email protected] from the address on the account, or from the address you submitted with. We remove it from rotation and from the site, and confirm when it is done. Archived shows that already contain it are handled case by case — tell us if those must go too.
The lyric builder, the Suno prompt builder, the image designer and the artist hub tools take what you type and send it to a model to produce an output. That means:
Treat a prompt as something you are comfortable storing: do not paste a password, a card number, an ID document or someone else's private information into a studio tool.
The chat link opens our Discord server. Discord is a separate platform and a separate controller of what happens inside it: your Discord account, messages, voice and presence are handled under Discord's privacy policy, not this one.
We moderate our own server and can see what is posted there, as any member can. If you are banned or leave, your messages remain in the server until we remove them; ask a moderator if you want yours deleted.
We never sell, rent or trade personal data. A short list of providers is necessary to run the station, and each of them processes data only on our instructions:
We may also disclose data if we are legally obliged to, or to establish or defend a legal claim. We will tell you unless we are prohibited from doing so.
Write to [email protected] and ask us to:
We answer within 30 days. We may ask a question or two to confirm the request is genuinely yours, and we may decline a request that would expose someone else's data. There is no charge.
If our answer does not satisfy you, you may complain to the Georgian supervisory authority for personal data protection (Personal Data Protection Service of Georgia — პერსონალურ მონაცემთა დაცვის სამსახური), or to the authority where you live.
The site runs over encrypted HTTPS. Passwords are stored hashed, not in plain text. Access to the server and to payment records is limited to the people who need it, protected by strong passwords and two-factor authentication where the provider offers it. Backups are kept so the station can recover from a failure.
No system is perfect. If a breach ever affects your data, we will tell you and the supervisory authority where the law requires it, explain what happened in plain language, and say what we did about it.
If you spot a weakness in this site, please tell us at [email protected] before publishing it, and give us a reasonable chance to fix it.
You can listen to the stream at any age. You must be at least 16 to register an account and submit music, and at least 18 to buy anything — credits, a Pro membership, a donation or a paid contest entry.
If you are 16 or 17, we ask for a parent or guardian's confirmation when you submit music. We do not knowingly collect data from anyone under 16; if you believe a child has sent us information, write to us and we delete it.
Some of the providers above are outside Georgia — payment processing and model generation in particular. Where data is transferred internationally, we use providers that apply recognised safeguards, and we keep the amount transferred to the minimum the service needs.
We update this page when the station changes — a new tool, a new payment route, a new provider. The version published here is the current one, with its effective date at the top. If a change materially affects how we handle data you have already given us, we tell you by email as well as updating this page.
This policy is governed by the law of Georgia, including the Law of Georgia on Personal Data Protection. Disputes follow the same route as the Terms & Conditions: written notice, 30 days of good-faith negotiation, then the courts of Georgia, with the Tbilisi City Court (თბილისის საქალაქო სასამართლო) as the court of first instance.
